Responsibilities and duties will include but are not limited to the following:
Answer phones and take appropriate action.
Greet and direct visitor(s) to the company.
Provide general administrative assistance. Duties may include but are not limited to copying, filing, faxing, collating, preparing documents and files, typing and designing general correspondences, memos, charts, tables, graphs, etc. Proofread copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
Develop and distribute company newsletter to client staff.
Manage office supplies such as ordering, receiving, stocking or distributing office supplies.
Interact with building management for various problems & services.
Safety monitor for office.
Prepare, sort and distribute mail. Maintain mailing equipment.
Provide support to Security Department to include preparing visit requests, administering personnel clearance packages and conducting in and out processing actions, maintaining employee security files and other general security administration as needed.
Provide support to the HR Department to include working with the HR team to in-process new employees, maintain personnel files, process background checks, participate in gathering and maintaining EEO data for annual reports, process employee actions, conduct research and analysis, and assist with other HR projects as required.
Assist with employee benefits, insurance coverage and retirement plans.
Provide support to management administrative requests.
Schedule and organize activities such as meetings, conferences, and employee welfare functions.
Other duties may be assigned to meet business needs.
Proficiency in MS Windows and the Internet required.
Proficiency in MS Office Suite with an emphasis in MS Word and Excel.
Must be a quick learner and have the ability to prioritize, multi-task and work in a fast paced environment.
Must possess excellent verbal, written, and interpersonal communication and customer relations skills.
Must demonstrated continuous poise, tack and diplomacy.
Professional telephone manners are essential.
Maintain the highest level of confidentiality.
Must be able to obtain an Interim Secret clearance and maintain clearance as required by position.
High School Diploma or (GED) required.
Business school and/or college degree is preferred.
